Frequently Asked Questions

Everything you need to know about your cycling holiday — from booking to what to pack.

Booking & Payment

How do I book a cycling tour?

Contact us via email at info@viapanoramica.com, by phone at +39 320 047 2436, or through the WhatsApp button on any tour page. We will confirm availability, send you a booking form and invoice. A deposit is required to secure your place, with the balance due before departure.

What is included in the tour price?

Most tours include:

  • Accommodation in selected hotels or B&Bs
  • Daily breakfast
  • Local cycling guide (guided tours) or GPX files and maps (self-guided tours)
  • Luggage transfer between overnight stops
  • Emergency roadside assistance
  • Pre-tour briefing and welcome pack

Flights, lunches, dinners and personal travel insurance are not included unless stated on the individual tour page.

Do you offer private or custom tours?

Yes. We can arrange private departures for couples, families and groups on any of our existing tours. We also design bespoke itineraries tailored to your interests, fitness level and schedule. Contact us with your requirements and we will send you a custom proposal.

Can I join as a solo traveller?

Absolutely. Solo travellers are welcome on all our tours. On guided group tours you will join a small international group (usually 6–12 people). On self-guided tours you travel independently at your own pace. We can arrange single-occupancy rooms — a single supplement may apply depending on the tour.

Tours & Itineraries

What fitness level is required?

Each tour is graded by difficulty:

  • Easy: suitable for recreational cyclists who ride occasionally. Flat or gently rolling terrain, 30–50 km per day.
  • Moderate: some hills, reasonable base fitness required, 50–70 km per day.
  • Challenging: longer distances or significant elevation, for regular cyclists, 70+ km per day.

If you're unsure which grade suits you, contact us — we'll help you choose.

What is the difference between guided and self-guided tours?

On guided tours, a local cycling guide leads the group every day, providing commentary, cultural insight and route support. Ideal for those who want a social experience or prefer not to navigate independently.

On self-guided tours, you cycle at your own pace using GPS tracks, maps and detailed route notes we provide. Accommodation is pre-booked and luggage is transferred — you simply follow the route. Ideal for independent travellers who prefer flexibility.

Are the tours suitable for families with children?

Several easy and self-guided tours are suitable for families with older children (12+) who are comfortable cycling 30–50 km per day. For younger children, contact us to discuss options such as e-bikes, shorter daily distances or custom family itineraries. We are happy to adapt our tours to your family.

What languages are your guides available in?

Our guides are fluent in Italian and English. We regularly welcome cyclists from the UK, Ireland, USA, Australia, Germany and the Netherlands. Please specify your language preference when booking.

Bikes & Equipment

Can I rent a bike from you?

Yes. We offer road bikes, gravel bikes, e-bikes and mountain bikes for hire. All rental bikes are quality-checked before each use and include a helmet, repair kit and pump. Visit our Bike Hire page for models, sizing and availability.

Can I bring my own bike?

Of course. You are welcome to bring your own bike on any tour. If you are flying, we recommend a hard-shell bike bag or box and booking airline bike transport in advance. Let us know your bike type when booking so we can plan any specific logistics.

What should I bring on a cycling tour?

We recommend:

  • Padded cycling shorts and moisture-wicking jerseys
  • Light rain jacket and arm/leg warmers (for spring and autumn)
  • Cycling shoes or comfortable flat-pedal shoes
  • Sunscreen, sunglasses and gloves
  • A small daypack for the bike (snacks, phone, sunscreen)
  • Casual clothes for evenings

A detailed packing list is included in your pre-tour documentation.

Practical Information

When is the best season to cycle in this area?

Our season runs from March to October.

  • Spring (April–June): mild temperatures, lush green landscapes, fewer tourists. Ideal for most cyclists.
  • Summer (July–August): warm and lively. Coastal routes stay pleasant; inland routes can be hot midday. Book early — these months fill quickly.
  • Autumn (September–October): golden landscapes, harvest season, cooler temperatures. A favourite with experienced cyclists.
What happens if the weather is bad?

Cycling in the Emilia-Romagna and Adriatic region is generally excellent from March to October. Light rain is not unusual in spring — we recommend packing a rain jacket. Tours are not modified for ordinary rain.

In the rare event of severe weather making cycling unsafe (e.g. storms, flooding), we will arrange alternative transport or activities for that stage. Your safety is our priority.

How does luggage transfer work?

On multi-day tours, your main luggage is collected from your hotel each morning and delivered to your next accommodation before your arrival. You cycle with only a small daypack. Please stay within the weight limit specified in your tour documents (usually 20 kg per person).

Do I need travel insurance?

We strongly recommend purchasing comprehensive travel insurance that covers cycling activities, medical emergencies, trip cancellation and luggage. This is not included in the tour price. Please confirm that your policy covers cycling before departure.

Cancellation & Changes

What is your cancellation policy?

Our standard cancellation fees are:

  • More than 30 days before departure: loss of deposit
  • 15–30 days before departure: 30% of total price
  • 8–14 days before departure: 50% of total price
  • 3–7 days before departure: 75% of total price
  • Less than 3 days or no-show: 100% of total price

We strongly recommend travel insurance with cancellation cover. Full details are in our Terms and Conditions.

Can I transfer my booking to another person?

Yes. You can transfer your booking to another person who meets the tour requirements, provided you notify us in writing at least 7 days before departure. Both the original booker and the new participant are jointly responsible for any outstanding balance and transfer fees.

What if Via Panoramica cancels a tour?

If we are unable to run a tour due to insufficient bookings or unavoidable extraordinary circumstances, we will notify you as early as possible and offer a full refund or the option to transfer to a different tour date. We will not charge any cancellation fees in this case.
